How to Choose the Perfect Venue

The big night is finally here!

Perhaps you are getting married, or you’re celebrating your son’s bar mitzvah. Everything is set up and guests are starting to arrive, excited and ready to celebrate!

The venue you chose for your event is beautiful, and seemed perfect. To your dismay, however, as the night progresses everything seems to fall apart. Lack of parking is causing chaos outside, the kitchen is not big enough for your caterer’s needs and the in-built sound system is barely working.


To help you choose the ideal venue for your event, and avoid a disaster like the one above, we’ve compiled the following list of potential venue challenges you should be aware of.

Some of the Challenges a Venue Can Pose

  • Size: A massive venue may look majestic, however too much empty space could make your event feel awkward and impersonal. On the other hand, while a smaller venue may feel intimate beforehand, add a few hundred guests and the space could feel stifling and congested!
  • Inclusions: Does the venue include essential items like tables, chairs, sound systems, and screens? If yes, are they good quality? If not, your budget could be in for an unpleasant surprise.
  • Kitchen Facilities: Even the best catering companies won’t be able to create exceptional food without sufficient resources, refrigeration and space in the kitchen.
  • Parking: Not having enough parking can wreak havoc on your party before the guests even make it inside.
  • Accessibility: Does the venue have suitable disabled access? You don’t want your great aunt to miss the festivities just because she’s in a wheelchair!
  • Dance Floor: A crowded dance-floor is definitely a good thing, but you also want to make sure there’s enough room for everyone, especially for the Horahs!
  • Set-Up/Clean-Up: A venue’s layout will impact how long it takes for the suppliers and caterers to bump in, set up and clean up.
  • Destination Weddings: Paradise may not have all the resources and amenities you’re used to having back home!

4-Step Game-plan to Manage Any Challenge and Create an Awesome Event

  1. Collate all your questions into a single document and bring it with you when assessing venues. Simply present it to the venue when you arrive and tick off all questions, to make sure you learn everything you need to know about the venue.

  1. Invite your caterer along to view the kitchen. It’s important they know what facilities are available before selecting your menu!
  2. Obtain costs for any additional equipment that may be needed in the kitchen or elsewhere as early as possible, so you can assess and budget them into the venue price.
  3. For destination weddings, your best bet is to hire a coordinator who has experience in planning weddings at your destination.
